Trust Person

The trust person serves as a point of contact for anyone who feels they may be or may have been in an unsafe, uncomfortable or unwanted situation, or for anyone who has witnessed someone else in such a situation. When contacted, the Trust Person will keep your information confidential and take appropriate action, but always with your consent. Cancelation Policy

Once the fee has been paid and the registration is confirmed, refunding because of cancellation is not guaranteed. Refund is only possible if a replacement can be found for your spot. Either the organization is able to pass on your spot to someone on the waiting list, or you can propose a replacement yourself. Code of Conduct

Aim

The IAESTE Connect Region, and IAESTE in general, aims to foster an inclusive environment for all of its volunteers and interns. The purpose of this Code of Conduct is to strengthen participant confidence in other participants upholding our values during the annual Connect Conference.

Standard for behavior

Personal integrity

During an IAESTE conference, we are not only setting the reputation of our country in the eyes of other member countries, we are also expected to embody the values of our global network. Respect for others, as individuals and for their culture, is without a doubt a large part of what IAESTE stands for. Participants must therefore at all times respect the personal integrity of other participants and non-participants. Personal integrity is to be interpreted in a broad sense. It includes a person’s physical integrity (thereby prohibiting violence), personal safety (thereby prohibiting sexual harassment), dietary preferences (thereby prohibiting forced alcohol or other consumption), etc.

Workshops

Workshops are a valuable part of every IAESTE conference. Workshop leaders spend a significant amount of time preparing for them. Participants must respect their efforts and attend the workshops for which they have registered. They must partake in the activities provided by the workshop leader and not disturb the sessions. Participants must make sure they are physically capable of attending the workshops, even after a heavy night, and must fill in feedback forms after the workshop.

Accountability

It is important to recognize that one’s own state of inebriation (drunkenness) does not diminish one’s obligations in the context of this Code. This means that participants will always be held accountable for their actions, and must not allow themselves to reach a state of inebriation that inhibits clear thinking. Participants must take caution, especially but not exclusively during events like the International Evening, to stop their alcohol consumption in time so as not to dirty the location or other participants. 

Material integrity

Aside from personal integrity, participants must also protect the integrity of the accommodation, activity and workshop venues during the conference. This means that they must make proper use of provided materials, and be gentle with furniture and equipment. Participants are personally liable for any damage. Any (accidental) damage must be promptly reported to the organizing team.

Sanctions

If the CoRe Management Team, the conference organizers or the appointed Trust Person become aware of any violation of this Code of Conduct by a participant, violaters can be sanctioned. Sanctions can include, but are not limited to, verbal warnings, prohibition to consume (further) alcohol, exclusion from one or more activities during the conference, exclusion from the rest of the conference altogether, and exclusion from future Connect conferences. The authority to impose sanctions lies with Connect Conference Management and the CoCon-Team. Violaters can be heard, but sanction decisions are binding.

Liability Policy

Participants are required to comply with the rules and regulations governing the applicable venues and accommodation as well as the local laws. Any fines will be paid by he attendee(s) who breached the rules or laws. You are in charge of your property that is brought onto or left at the venues. IAESTE Norway, nor the Connect Region, nor the organizing team, bear any responsibility for the potential loss of or damage to personal property due to third parties.

The participants shall indemnify the organization, and keep the organization indemnified for any costs, losses or damages that the organization pays to the venues, accommodation or any other supplier connected to the event following (i) any breach by any of the attendees of the relevant rules and regulations relating to the venue or accommodation; (ii) any damage done to that venue or accommodation or any equipment thereon by any of the participants, including, but not limited to, any equipment provided for the event; and (iii) any injury suffered by any person, animal or item caused by or in consequence of any act or omission of any of the participants.

The participant shall indemnify the organization if the organizing team deems it necessary to call an emergency service and the participant is unable to respond, but on arrival of said service, the participant decides not to use it.

Subject to the other provisions of this Policy, the organization only will be liable to participants for proven direct losses suffered due to the negligent acts or omissions of the organization and the organization’s liability for these proven direct losses is limited in total to the amount paid by the participant to the organization for the relevant event. The organization expressly excludes any liability for any property damage or loss incurred at any time during the event.

The organization shall not be liable (whether such liability arises due to negligence, breach of contract, misrepresentation, or otherwise) for any direct losses or damages not stated above or for any indirect or consequential losses or damages howsoever arising. This shall include, but not be limited to, (and whether direct, indirect or consequential) loss of use or any profit, business, or data or any loss of use or damage suffered by any participant as a result of an action brought by a third party, even if such loss was reasonably foreseeable or the organization had been advised of the possibility of the participant incurring the same.

Nothing in these terms and conditions is intended to limit or exclude any liability which the organization is not able to limit or exclude by law including, but not limited to, liability for any fraudulent misrepresentation and/or for any death or personal injury caused by its negligence.

Participants must put in place appropriate insurance to cover any costs, liabilities or other losses that they may suffer or incur arising out of these terms and conditions (including the indemnity above), any cancellation of any event for any reason or arising out of their inability to attend the event for any reason (including any reason beyond their control). Participants acknowledge that the organization shall not be liable for any costs or losses arising due to such cancellation or inability to attend, save to the extent expressly set out in these terms and conditions, and therefore it is their responsibility to ensure they have appropriate insurance.

Privacy Policy

Without expectation of compensation or other remuneration, now or in the future, IAESTE Norway and the Connect Region and their affiliates and agents can use images and likeness and/or any interview statements in its publications, advertising or other media activities (including the internet).

This consent includes, but is not limited to:
a. Permission to interview, film, photograph, tape or otherwise make a video reproduction.
b. Permission to use your name.
c. Permission to use quotes from the interview(s) (or excerpts of such quotes), the film, photograph(s), tape(s) or reproduction(s), in part or in whole, in its publications, in newspapers, magazines and other print media, on television, radio and electronic media (including the internet), in theatrical media and/or in mailings for educational and awareness.

IAESTE Norway and the Connect Region will choose sensible and non-compromising images/photographs/film, etc.
The publication may appear on the internet/World wide web/Social media.
The publication may appear in print, electronic or video media.
The publication may enable readers to identify me.
